Under the supervision of the Senior Vice President Sales - US/Canada (and or VPs, as assigned), the Administrative Assistant for U.S. & Canada Sales directly supports the activities of the team responsible for new Falcon sales into North America.
PRINCIPAL DUTIES/RESPONSIBILITIES (ESSENTIAL FUNCTIONS):
- Assist department Sr. VP and/or VP(s) with day-to-day administrative functions.
- Act as a liaison between department Sr. VP and/or VP(s), Regional Sales Directors and Sales Managers based at company headquarters and remotely.
- Type and file correspondence from to the department Sr. VP and/or VP(s).
- Coordinate / make travel arrangements for: Sales Department SVP / VP (s).
- Prepare and submit Travel & Expense Reports for department Sr. VP and/or VP(s).
- Complete, submit for approval and forward to accounting weekly personal and team timesheets.
- Maintain, prepare, update and distribute as requested by sales team: Sales Proposals, Flight Demonstration Requests, Purchase Requisitions, and other documentation related to the sales process. Ensure those documents make their way through required review and approval channels and are properly distributed, recorded and filed.
- Assist department Sr. VP and/or VP(s) in the preparation of annual budget plans and upload such into the companys accounting data entry and tracking tool. Prepare updated department expenditure / status reports from time to time as requested by SVP.
- Track and maintain a log of department product promotion-related expenditures against allocated promo budgets for each Sales Director / Sales Territory, throughout the year.
- Support sales team members in preparing for sales and spaneting events including packaging and direct-shipping brochures, equipment required for presentations, giveaway items, etc.
- Assist sales team members in ordering and shipping giveaway items from the online company store or other sources.
- Assist Sales Managers and Directors in responding to website and phone inquiries for product information.
- Assist Sales Managers and Directors and SVP/VP(s) in fielding and appropriately routing incoming phone calls from customers and prospective customers.
- Assist in maintaining physical and virtual sales and spaneting-related documentation libraries, including that residing in the teams Customer Resource Management tool(s).
- Support company / team participation in annual industry national and local conventions. To include direct responsibility for coordination of show-related team, company VIP and customer travel, planning for and participating in team and/or customer gatherings during the show, assisting with the management and execution of show operations (at aircraft static display(s) and/or convention hall booth(s).
- Assist in maintaining and updating contact and company information residing in the teams Customer Resource management tool(s). Retrieve information from the database to support spaneting and sales initiatives.
- Perform research on companies and/or individuals who may be sales prospects or influencers as part of CRM tool database upkeep and/or for specific sales team projects.
OTHER DUTIES/RESPONSIBILITIES:
- Interface with departments directly supporting sales team activities and those performing administrative functions including Executive, Flight Operations, Contracts, Legal, Specification and Design, Customer Service and Accounting.
- Interface as requested with Dassault Aviation administrative staff in coordinating visits or events in France, other international locations, the Little Rock Completion facility, Dassault MRO facilities, etc. for department Sr. VP and/or VP(s), sales team members, customers and/or prospective buyers.
- Interface as requested with administrative staff at the Little Rock Completion facility, Dassault MRO facilities, etc.
- Assist sales team members in preparing and gaining approval for vacation / personal holiday / sick time requests, maintain tracking log.
- Assist Marketing department in support of sales – related activities, as requested.
- Maintain, update and distribute Sales / Marketing Manpower document as staff information changes.
- Distribute incoming mail to remotely-base sales team members.
- Digitize and file current and historical sales department documentation as requested.
- Substitute coverage for EAs within other company departments as needed.
- Assist flight operations group in maintaining adequate supplies of updated spaneting materials for use on demonstrator aircraft.
- On occasion, coordinate / make travel arrangements for: Sales Directors and Managers.
- On occasion, coordinate / make travel arrangements for customers and other industry representatives related to factory tours and other various events that company hosts, sponsors and/or participates in.
- Occasional travel throughout the U.S. & Canada to support offsite events, including industry conventions/shows, local business aviation association gatherings and other sales and spaneting – related events hosted or participated in by sales team members.
Requirements
MINIMUM REQUIRED QUALIFICATIONS:
- High School graduate or equivalent.
- Minimum 5 years secretarial experience.
- Excellent communication skills.
- Proficient in Microsoft office products; Word, Excel, Outlook, etc.
- Capable of handling heavy influx of telephone calls on multi-line phone.
